Customise your invoice

Pick a template, drop in your logo, hide fields you don't need, match your brand. Set it once, and every invoice you send afterwards inherits the look.

Why this is worth setting up first

An invoice that looks like your practice helps clients recognise and trust it. Set the branding once and every future invoice inherits the look, rather than a generic default.

Pick a template

Settings → Billing → Invoices, then Edit under Invoice templates. Carepatron ships three:

  • Simple: minimal layout, plenty of whitespace, no surprises. The safest default.
  • Modern: leans editorial.
  • Contemporary: a stronger header block.

Preview shows each one with your real data.

Logo and theme colour

On the customise bar, choose Theme to upload your invoice logo and pick a colour. The invoice logo is separate from your workspace logo; it's often a more formal wordmark, 'Brunswick Family Practice' rather than just the icon.

Match the colour to your other client-facing surfaces: booking page, portal, emails.

Fields and sections

Fields controls what's actually printed. Hover any section (Bill To, Client, Provider) and toggle the eye icon to hide or show it. Within each section, the dropdown picks which fields appear, and the X removes individual items.

Use it to drop what you don't need: provider phone on a one-person practice, client phone on B2B invoices. Save when done; changes apply to all future invoices.

Invoice setups

Five invoice configurations practitioners settle on.

Each is one practice's final answer. Adapt to yours.

Solo therapist

Simple template. Practice logo at top. Hide provider phone (the email is enough). Theme colour matches the website.

Group practice

Modern template. Practice logo. Both provider name and client therapist shown so multi-clinician families know who they're being billed for.

B2B invoicing (consultancy)

Contemporary template. ABN/tax number prominent. Hide patient details, invoices go to the business, not the individual.

Insurance-friendly

Simple template. Provider NPI shown by default. Itemised CPT codes per line so claims teams can read them at a glance.

Localised invoicing

Simple template. Localised tax label per region ('GST' vs 'VAT' vs 'Sales tax'). Theme stays consistent across all.

Where do I customise my invoice?

Will my changes apply to invoices I've already sent?

No, changes apply to new invoices only. Already-sent invoices keep the template they were created with, so historical PDFs stay consistent.

How customisable is the layout itself?

Logo, colour, field visibility, and section visibility are all editable. The underlying layout (where the line items sit, footer position, etc.) is fixed to the chosen template, the goal is consistency, not full design freedom.
