Lesson 1.1 · 3 min read

Take the tour

A short orientation pass. Where things live, what each area is for, and what to set up first, so the rest of these lessons make sense in context.

Why the order matters

Carepatron is wide: calendar, clients, notes, billing, telehealth, insurance, workflows. Set things up in the wrong order and you'll hit 'pick a service' or 'choose a location' prompts before those things exist.

This course walks the order that works: branding, then locations, then services, then team. Get those right and every later lesson has the right scaffolding underneath.

Your left sidebar

Everything you do every day lives in the left sidebar.

  • Calendar for appointments.
  • Clients for records and notes.
  • Templates for forms and note templates.
  • Inbox for messages with clients and team.
  • Your team for team setup and availability.

Billing appears once you've connected Stripe in Course 4. Insurance appears once you've turned it on (paid plans only; electronic claim filing is US-only). Telehealth is built in: it's available the moment you create a Carepatron Telehealth location.

Settings vs day-to-day work

The split is clean. Day-to-day work (calendar, clients, notes, invoices) lives in the left sidebar. Configuration lives in Settings:

  • Workspace settings holds branding, services, locations, and online booking.
  • My Profile holds your details, theme, MFA, and connected apps.
  • Billing holds Stripe, your invoice template, and your subscription.

MFA is under My Profile → Details, and it's strongly recommended for any account holding clinical records. If you're configuring the practice, you're in Settings. If you're doing client work, you're in the sidebar.

Logins and the mobile apps

There are three ways to log in at app.carepatron.com/Login: email and password (MFA optional), Google, or Apple.

The mobile apps are on iOS and Android. Search 'Carepatron' in the App Store or Play Store and use the same login. Calendar, client records, and notes all work on mobile.

If your workspace includes a sample team member called Wendy Smith, she's there so you can explore the platform before inviting real teammates. Remove her any time from Your team.

Worth doing

Five things worth doing in your first ten minutes.

Quick wins before you go any deeper. Each takes under a minute.

Turn on MFA

Settings → My Profile → Details → Multi-Factor Authentication. Healthcare data; treat it accordingly.

Install mobile

Grab the iOS or Android app, so your calendar is with you wherever you are.

Meet Wendy

If your workspace includes Wendy Smith, she's a sample team member for exploring the platform. Poke around with her, then remove her from Your team.

Pin Settings

Most configuration lives in Settings → Workspace settings → Details. Get familiar with the layout.

Find the Help icon

Lower-left of the app. Real humans on the other end, type a question and someone replies in the same thread.

Common questions
Where do I get help inside the app?

There's a Help button at the lower-left of every page. Type a question and someone on the team will reply in the same chat thread.

Is there a mobile app?

Yes, on iOS and Android. Search 'Carepatron' on the App Store or Play Store. Same login as the web app. Calendar, client records, and notes work fully on mobile; some Settings screens are easier on desktop.

What's the Wendy Smith account I see in my workspace?

A sample team member included in new workspaces so you can explore Carepatron before inviting real teammates. If she's in yours, remove her from Your team when you're done.

Can I use multi-factor authentication?

Yes. Settings → My Profile → Details → Multi-Factor Authentication (MFA). Available with email/password login. Strongly recommended for any account holding clinical records.

How do I log in with Google or Apple instead of a password?

From app.carepatron.com/Login, choose Sign in with Google or Sign in with Apple and follow the prompts to authenticate.

I forgot my password. How do I reset it?

From the login page, choose Forgot password?, we'll email a reset link. If you signed up via Google or Apple, log in with that provider instead; there's no password to reset.

Can I share a workspace with my team?

Yes. Inviting your team is Lesson 1.5. Every team member uses their own login, with permissions set by the workspace owner.
